When sales people want to approach new prospects they start with writing a sales prospectus. This document is meant to create interest. If the client is interested they will look or ask for further details.
It's the same for a job seeker. They are in the business of selling themselves. But in order to be able to present your qualities and skills to a prospective employer, you will need to create an interest. Before the recruiter will even read your resume you need to hook them with your application or cover letter.
Following are some hints and tips that will make your document a winner. Take your time because any time you spend on this task will also help you when it comes to an interview.
Phone up for a statement of the job requirements or job description. If you can't do that, look the specific occupation up in the Job Guide. (Book or internet just Google 'Job Guide'.
Research the company on the internet and/or in the Yellow Pages.
Write a draft letter first to ensure you have included all the necessary information.
Address the letter correctly; try to find out the name and position title of the person who is recruiting by calling the company.
Use good quality white paper
Typewrite the letter; only use handwriting when it is specifically asked for in the advertisement.
Take note of what you are asked to include, e.g. photocopies of birth certificate, references, etc. NEVER send originals.
Check and double check for spelling and grammatical errors. Have another person check it as well afterwards.
Make sure that all the information given is relevant to the job - don't waffle or write about personal problems.
Answer ALL of the requirements listed for the job in the advertisement, statement of job requirements or job description.
Keep sentences reasonably short.
Be positive but don't overstate or understate your case, for example:
-Instead of fairly experienced - use experienced
-Only part time - use part time
-Considerably experience - use X years of experience
-Reasonably good at - use capable of
-Some - use I have
-Think/believe I can - use I can
Don't mention negative aspects of yourself or your work history.
Check closing dates and always apply early. Don't miss the closing date
Make a photocopy or save on computer to help you remember what you wrote and to keep as a record.
PARTS OF THE JOB APPLICATION LETTER
Write your full address. Include your telephone number. If you don' have a phone, include the number of a friend or relative where you can be contacted.
Include your email address, but only if you check your messages regulary. And....make sure your email address is not a silly or rude name. That will not impress your possible future employer. I.e. pinkbarbiegirl @ bigpond.com
Write the date of the application out in full, e.g. 2 July 2011, not 2/7/11. Don't abbreviate in the content of the letter either.

The next few paragraphs should briefly state your relevant background - experience, education, awards, etc. relevant to the job requirements. Tell them why you are the best match for the position.
Include a brief paragraph about your personal qualities like: reliable, energetic, enjoy working in a team, pay attention to detail etc. Make sure these statements fit the job requirements.
