Summary:
Serve as the Business Operations lead and the Chief of Staff to the General Manager of a storage line of business. As the operational "right hand" to the GM role, responsible for coordination of activities necessary to establish short-term and long-term BU objectives, plans, and budgets This role provides significant value by relieving the GM of routine and detailed work associated with achieving organizational success, freeing the GM and his/her leadership team to focus on those aspects of the business where only they can act..

The Chief of Staff works hand in hand with the GM to ensure his/her organizational goals are met. Responsibilities include planning and facilitating management/team and site meetings,running the agenda and ensuring the meetings stay on track. Will also act on behalf of the GM as needed, attending meeting regarding operational issues impacting the LOB or site. And, will of course deal with the occasional firedrill. Anything and everything that affords the GM the ability to remain focused on more important organizational and business issues. Although this role is non-technical in nature, a technical background will come to play in supporting the operations of a 400+ employee software development organization. An ability to speak and understand technical jargon is essential.

Principle Accountabilities:
1. Point person and day to day leadership and direction extended team members, Site Operations and Services
a. Advising and providing information to the general manager and staff
b. Preparing, updating and managing plans (Budget, Resource, Headcount, Space and Portfolio)
c. Identifying and Analyzing Problems and Making Recommendations
d. Monitoring execution of decisions/plans, task tracking and follow-up
2. Conducting staff coordination within Line of Business, between LOB’s and other PG LOB’s, and with functions across PG Storage and the IDM Domain..
3. Leading and facilitating management meetings to include running the agenda and ensuring meetings stay on track
4. Partner, and in some cases direct the work of indirect functions in the definition and execution of strategies, objectives and/or programs

Key Characteristics for Success in this Role

1. Functional Technical Skill – Must be competent is all aspects of specified duties and responsibilities and also familiar with the duties of other functions to accomplish vertical and lateral coordination to reach the best recommendations for the GM and leadership team. Experienced at gathering relevant information to support problem solving and decision making, with an eye for detail and perfection.

2. Initiative and Judgment –Must not wait for the GM to give specific guidance but rather anticipate what will be wanted or needed and the questions that will be asked. The goal is to make sure the leadership can make informed decisions

3. Creativity – Always looking for a new and innovative solution to problems. Creative thinking and critical reasoning are both required skill for this role, both necessary for the analysis and development of recommendations (and alternative recommendations) for the leadership team.

4. Flexibility and Dealing with Ambiguity –Maturity and presence of mind to keep from becoming overwhelmed or frustrated by changing requirements and priorities. Must be a master of prioritization as multiple directions given from different organizational leaders.

5. Confidence and Comfort Around Higher Management – must have the mental discipline and confidence to understand that the entire staff work serves the GM and the Line of Business. Will often be required to concurrently develop multiple sides of an issue and cannot bias the evaluation criteria. Must provide the right information rather than what the GM wants to hear and must never forget the impact the recommendation has on the employees of the organization.

6. Team Player – To effectively complete the business operations deliverables of this role, work cannot be completed in a vacuum. The advise, consultation and cooperation of others is required. Success in the role will be dependent on good networking ability, making contacts and developing relationships throughout the organization

7. Effective Manager – must be able to effectively manage time and resources. Time will always be most critical. Must be able scope entire work effort required for a deliverable, ensuring that others who must either collect, process, communicate use information to make a recommendation have enough time to complete their work. Must be a good steward of all the organizational resources (people, equipment, money), diligent in efforts to efficiently plan for and manage these resource to achieve organizational goals

8. Effective Communication – Effectively sharing complex information so that it is easily understood is critical to the success of this position. Must be skilled at analyzing data and reporting correlations at an executive level. Must be versed at sharing information and ideas through a multitude of avenues to include oral, written and visually (with charts and graphs). Must also be skilled in delivering information to individuals and groups, adapting to meet the audience.

Qualifications
Experience:
Education: Engineering / Business Degree or equivalent preferred, MBA preferred
15+ years business operations experience
operations management for a technology organization
A combination of technical and operations experience
10+ years direct management/supervision experience
Additional preferred experience
A mix of large corporation and smaller organization//start-up experience
Acquisition integration experience a plus
Geographically dispersed development
Storage Industry
Software Industry
